Privacy Policy
This Privacy Policy explains how POLVIX Sp. z o.o. ('POLVIX', 'we', 'us') collects, uses and protects personal data when you visit www.polvix.pl or submit a Request for Quotation (RFQ).
1. Data Controller

2. Scope
This Policy covers all personal data processed through this website, our RFQ form, business correspondence and commercial relationships with B2B customers and suppliers.
3. Personal Data We Collect
RFQ submissions: full name, company name, business email, material of interest, estimated quantity, and project details you choose to share. Technical data: IP address, browser type, device information and pages visited (via essential and — with your consent — analytics cookies).
4. Purposes & Legal Bases (GDPR Art. 6)
We process personal data to: (a) respond to RFQs and perform pre-contractual steps at your request — Art. 6(1)(b); (b) perform commercial contracts — Art. 6(1)(b); (c) comply with accounting and tax obligations under Polish law — Art. 6(1)(c); (d) operate, secure and improve the website — Art. 6(1)(f) legitimate interest; (e) use non-essential cookies and analytics — Art. 6(1)(a) consent.
5. Recipients & Processors
We share personal data only with trusted processors: Resend (transactional email delivery), our hosting provider, accounting providers, and competent public authorities when required by law. All processors are bound by data processing agreements.
6. International Transfers
Some processors may store data outside the EEA. In such cases we rely on European Commission adequacy decisions or Standard Contractual Clauses (SCCs) to ensure equivalent protection.
7. Retention
RFQ correspondence: up to 3 years from last contact. Contracts and accounting documents: 5 years from the end of the relevant tax year, as required by Polish law. Cookie consent records: up to 12 months.
8. Your Rights
Under GDPR you have the right to access, rectify, erase, restrict or object to processing of your data, the right to data portability, and the right to withdraw consent at any time. You may lodge a complaint with the Polish supervisory authority (Prezes Urzędu Ochrony Danych Osobowych — UODO, ul. Stawki 2, 00-193 Warszawa).
9. Security
We apply technical and organisational measures appropriate to the risk: TLS encryption in transit, restricted access, secure email delivery and regular review of processor security posture.

We may update this Policy from time to time. The 'last updated' date below reflects the current version.
